About the Opportunity:
Our client is a respected North Queensland builder, delivering high-quality custom homes, residential renovations, and commercial projects.
This is not a traditional administration role.
Our client is seeking an experienced Project Coordinator / Contract Administrator who will become the operational hub of their business, working closely with their Directors, newly appointed Project Manager, Construction Supervisor and site teams to ensure projects are delivered efficiently from contract signing through to completion.
As their business continues to grow, this position will play a critical role in supporting project delivery by coordinating procurement, contracts, documentation, scheduling, compliance and communication across multiple projects.
Their business operates Buildertrend as the central hub for project management, procurement, documentation and communication. The successful applicant will use Buildertrend daily to manage projects, coordinate information and support their construction team. Experience with Buildertrend or a similar construction management platform is highly regarded.

About the Role:
Working closely with the leadership team, you will coordinate the day-to-day administration of multiple residential and commercial construction projects. You will ensure projects remain organised, documentation is current, procurement is proactive and communication flows effectively between the office, site, subcontractors, suppliers, consultants and clients. This role is suited to someone who thrives in a fast-paced environment, enjoys solving problems and understands that strong administration is essential to successful project delivery.
Key Responsibilities:
- Coordinate projects from contract execution through to practical completion.
- Prepare contracts, project documentation and maintain accurate project records within Buildertrend.
- Manage procurement, including purchase orders, subcontractor engagement, material ordering and delivery scheduling.
- Coordinate project programmes, key milestones, inspections and consultant bookings.
- Track project budgets, variations, approvals, committed costs and progress claims.
- Ensure site teams have current plans, specifications and project information.
- Liaise professionally with clients, subcontractors, suppliers, consultants and internal teams.
- Maintain compliance documentation, including licences, insurances, inductions and SWMS.
- Monitor outstanding project actions and proactively follow tasks through to completion.
- Support the Project Manager and Directors by identifying opportunities to improve systems, processes and operational efficiency.

Essential Requirements:
- Minimum three years’ experience in Contract Administration or Project Coordination within the construction industry.
- Strong understanding of residential construction processes.
- Experience preparing contracts and project documentation.
- Experience with procurement, purchasing and subcontractor coordination.
- Sound understanding of construction scheduling and project workflows.
- Strong financial administration skills, including variations, progress claims and cost tracking.
- Excellent organisational skills with the ability to manage multiple projects simultaneously.
- High attention to detail and strong problem-solving ability.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office.
- Current Australian Driver Licence.
Highly Regarded:
- Experience using Buildertrend or similar construction management software.
- Knowledge of Queensland residential building contracts.
- Experience in custom homes, renovations or commercial construction.
- Experience within a QBCC licensed building company.
